Our system is structured in stages. Each stage is built to be exactly what you need when you’re in that phase of your practice.
STAGE 1 – STARTING
Best Fit: Solo practitioners in the first 1-2 years of their practice, or practices earning $20-70k annually.
This stage is all about getting the right foundations built so you accurately represent your practice and build enough trust with prospective clients to get them to take the first step and book an introductory call with you. Your entire online marketing system is only as good as the foundations you build on. In the first stage, we get your website and listings done right.
We’ve worked with hundreds of therapists just like you that were just starting up. Money can be tight. That’s why we created this stage of the program to deliver maximum results with minimal investment. We don’t cut any corners here, but we also don’t build anything you don’t need during your startup stage.
We’ve chosen a minimal amount of software to cover the most essential needs – and they require very little training to use – so you don’t have to spend a ton of time learning new systems. You can just let the systems work for you so you can focus on delivering therapy to your clients.
WEBSITE
Your website is the first impression you make to potential clients – so it has to tell your story. Doing that takes more than ‘just a cool site’. The images and content need to convey who you are, and the structure of the site needs to be easy for your clients to navigate so they can trust you to take the first step and book an introductory call.
Our website system works to grow your practice. The important work is already done saving you from needing to make a ton of decisions that a marketer would have helped you through anyway. We walk you through the areas of customization where you can make your project 100% unique without disrupting the effectiveness of the system. Easy peasy.
Our process includes you in the design and development process so you get to give input every step of the way, but we take care of everything from content, to a custom design to represent your practice, to development and launch. Everything is built in the WordPress content management system, so you can log in and update content and images whenever you need to. When you don’t have the time or want a professional to handle it, we have a full team of specialist web designers and developers available for adjustments (only pay for what you need).
CALL FUNNEL
We use Appointlet scheduled software combined with Google Calendar to easily manage your inbound calls. Automatically schedule initial calls to meet prospective clients and set up their intake. Scheduled calls offer an opportunity for clients to call when they know you’ll be available, and you’ll know what the call is for.
ORGANIC SEO
Just because you build a website doesn’t mean they will come. As part of the foundations of your project, we’ll create one SEO optimized landing page per month. What is an SEO Landing Page Get monthly reports on the search phrases you rank for, and track how many people are contacting you from SEO.
STAGE 2 – GROWING
Best Fit: Small team practice of 3-5 therapists, or practices earning $70k-450k annually.
In this stage, we begin to build leadgen systems on top of the foundations created in Stage 1. The goal of this stage is to increase your outreach to clients. As you extend your outreach, you’ll see your leads for caseload grow each month. If you’re choosing to grow your practice through therapist hires, this program can be extended to include therapist outreach to assist with recruitment efforts.
ACTION AVATARS
An action avatar is a profile on your ideal client. You may have several types of ideal clients (teens, married couples, postpartum, etc.). Each action avatar clearly outlines their major pain points, objections, goals, and communication style so you and your team can more easily and effectively connect your messages to them.
ACTION CONTENT
Using the action avatars we put together, we’ll start to develop high value-forward content for your ideal client. These content pieces solve problems, address concerns, and build trust with prospective clients before the first phone call, bolstering your incoming leads.
STAGE 3 – THRIVING
Best Fit: multi-location practices or clinics with 15+ staff, or practices earning $460K+ annually.
In the final stage, we focus on scaling your business. Leveraging the systems and messaging we’ve created in the previous stages, we publish your content to multiple platforms that resonate with your audience the most. We also focus on delegation and automation where possible to free up your time. Stay on track and get the support you need through monthly meetings.
MANAGED MULTI-CHANNEL MARKETING STRATEGY
As your practice grows you’ll want marketing engines that you can throttle up or down depending on your team’s caseload and therapist recruitment efforts. We will work with you to find the right combination of platforms to display your messaging to maximum effect.
DELEGATION AND AUTOMATION
Some practices choose to hire more therapists to generate more revenue off of fee splitting. Other practices offer premium content, consulting, or some form of one-to-many services so they can make more money for their time. We’ll work with you to identify which growth model is best, and support your growth by giving you the digital support you need to scale your practice the way you want to.
MONTHLY CONSULTATIONS
When you’re scaling your practice, it’s very helpful to have monthly check in calls with one of our specialists to make sure the next month’s activities are planned and in line with the vision of the practice.
